Checking out an item
Issue an item to an officer and start a chain-of-custody record.
A checkout issues an item to an officer temporarily — for a shift, a detail, or a range day — and is expected back. Every checkout starts a chain-of-custody record.
Checkout vs. assignment
Use a checkout for temporary issuance. For a primary duty weapon issued long-term, use an assignment instead (see Assigning equipment).
Start a new checkout
From Check Out, select New checkout and choose the item being issued — for example, a Glock 17 (#A4471).
Select the officer and purpose
Pick the receiving officer (e.g., Cpl. Jordan Bishop #081) and record the purpose of the checkout (patrol shift, training, range day, etc.).
Record condition and signature
Note the item's condition at checkout and capture the officer's digital signature. Location can be captured as well, creating a precise record of when and where the item left the armory.
Confirm
Confirm the checkout. The item's status changes to Checked out and it appears under Active checkouts.
